Deciding a case

Only a case's assignee can record an outcome, and two of the five end the case for good.

A decision is the outcome you record on a case, together with your reason for it. An auditor reads that pair before anything else: what you concluded, and what it rested on.

You decide once the agent has finished and you have checked what it found. Cogentic will not record a decision without a reason, because an outcome on its own is not defensible eighteen months later.

The five outcomes

The Decision picker groups them. Two sit under Resolve and end the case. Three sit under Continue investigating and say what the case is waiting on.

OutcomeChoose it whenThe case after
Close — false positiveThe activity has an explanation you can stateClosed. Its alerts close with it
Escalate to SARSuspicion has formedClosed. Its alerts close with it
Escalate to a reviewerSomebody else should take it onOpen, assigned to the reviewer, who is emailed

HoldYou are waiting on time or an eventOpen, still yours
The outcome you choose decides what happens to the case and who holds it next.

A closed case cannot be decided again. If you close one in error, a Reopen control appears where the decision was, and reopening asks for its own reason.

Record the decision

On the case's Summary tab, under Your decision

  1. 1

    Read the agent's recommendation

It names an outcome and the findings behind it. Open each finding it cites. Do not take a recommendation whose findings are still leads.

  2. 2

    Choose an outcome

Pick it in Decision. Escalate to a reviewer adds a Reviewer field for the person you are handing it to.

  3. 3

Take the agent's wording, or write your own

Generate reason fills Decision and Reason from the recommendation. The button appears only while Reason is empty, and everything it writes stays editable.

  4. 4

    Write the reason

Say what you concluded and what it rests on. Write it for somebody who has not read the findings. For a false positive, give the explanation you found rather than the absence of one.

  5. 5

    Select Record decision

Cogentic records the decision under your name with the time. The case changes state at once.

Escalate to SAR

The counterparty is on a sanctions list and the customer's declared wallet funded it directly. Direct exposure, not traced through an intermediary.

The data here is invented.

Nothing here is recorded until you select Record decision, whoever wrote the wording.

After you decide

On either of the two outcomes that close the case, the case and its alerts close together and the decision moves to the top of Summary. The audit log holds the outcome, your reason and your name, and nobody can edit it afterwards.

On the three that keep it open, Escalate to a reviewer hands the case to the person you chose and emails them. Request for information and Hold leave the case with you, to decide again when the thing you are waiting on arrives.

Escalate to SAR does not create or lodge a report. Open the case's Reports tab and build one from your organisation's template, which you can still do after the case has closed. Lodging it with AUSTRAC or any other regulator happens outside Cogentic, and Cogentic does not track whether you did.
